Which location has the stock right now? What's about to expire? And who approved that order?

The platform

One system from request to payment

Four connected parts that replace the spreadsheets, emails and paper forms.

Every supply, at every location.

Know what you have, where it is, and what needs attention, without opening a single spreadsheet.

About inventory
  • Stock levels at every location
  • Out, critical and running low, most urgent first
  • Expiring lots and inspections

The right approvals, before anything goes out.

Requests move through manager and director approval. Nothing is executed until the director signs off.

About approvals
  • Queue of every order and where it waits
  • Manager approval never releases an order
  • Approval trail: who, which level, when

Pay only for what you received.

Each invoice is checked against the purchase order and the delivery before it can be paid.

About invoices
  • Deliveries recorded against the order
  • Mismatches block payment, with the reason
  • Partial billing: matched vs blocked

Usage and spend, always up to date.

Usage and spend are tracked as you work, so decisions do not wait for a month-end report.

About reports
  • Items used and value received per week
  • Most used, least used, usage by location
  • Spend by month, site and supplier

Not everyone can do everything. Each role has its own access and its own say in an order.

How it works

Order to payment, step by step

Every step is recorded, so nothing depends on someone's inbox.

01
Request

Storekeeper raises it

A storekeeper asks for supplies for their location.

04
Receiving

Record the delivery

The delivery is recorded against the order.

02
Review

Manager approval

The operations manager reviews and approves. The order still can't be sent.

05
Payment

Match & pay

The invoice is checked against the order and the delivery. Match, and it's ready to pay.

03
Approval

Director approval

The director gives the final approval. Only then can the order go to the supplier.

Roles

Everyone sees what matters to them

Each person signs in to a view built for their job. Pick a role to see what it includes.

The storekeeper view of the InVen3 dashboard, showing only the request area of their own location

Storekeeper

Sees only their own location, with the most urgent items first, so there's nothing else to sort through.

What they see

  • Out of stock, critical and running low at their location
  • The value of stock on hand there
  • What's expiring in the next 30 days
  • Most used items and usage at their location

Operations manager

Sees every location at a glance and approves requests, so problems are spotted before they become shortages.

What they see

  • What's out of stock, and what's running low, most urgent first
  • Which inspection failed, and when the next is due
  • Open orders, and how many still need the director
  • Items used and value received per week, by location
The director view of the InVen3 dashboard, with approvals and full access across the system

Director

Sees what's waiting on them, and gives the final approval. No order goes out without it.

What they see

  • Orders to approve, invoices to decide and lots to review
  • Spend, stock on hand, compliance and service risk
  • Spend by month and by site
  • How much depends on each supplier
The finance view of the InVen3 dashboard, with purchase orders and reports

Finance

Sees why a payment is blocked. Each invoice is checked against the order and what actually arrived.

What they see

  • Every invoice with its order and delivery
  • Blocked, ready, partly approved and released
  • The reason a payment is blocked
  • Matched amounts apart from blocked amounts
Invoice matching

Pay only for what you received

Every invoice is checked against what was ordered and what actually arrived. Here's how a mismatch looks.

  1. Match

    All three agree

The invoice is released for payment.

  2. Differ

    Anything differs

Payment is blocked and finance sees exactly why.

  3. Partial

    Part of it matches

The matched amount is shown apart from the blocked amount, so you pay for what you received.

FAQ

Frequently asked questions

Get clarity, instantly.

Ask us anything
Which industries is InVen3 for?

Any business that holds inventory in one or more places, from healthcare and pharmacies to warehouses, retail, food and beverage, manufacturing, construction and hospitality.

Who sees what?

Each person signs in and sees what matters to them. A storekeeper sees only their own location, the operations manager sees every location, the director sees what is waiting on their approval, and finance sees why a payment is blocked. Each role also has access to different areas of the system.

Can an order go out without approval?

No. Manager approval is recorded, but an order can't be executed until the director has also approved it. Every approval is kept in an approval trail.

Can a storekeeper see other locations?

No. A storekeeper sees only their own location. The operations manager and the director see across locations.

How are invoices checked?

Each invoice is compared with the purchase order and what actually arrived. If they don't agree, the payment is blocked and finance can see the reason, so you only pay for what you received.

What does InVen3 replace?

The spreadsheets, emails and paper forms where supply information is scattered today.

Can I see all my locations in one place?

Yes. The operations manager sees every location at a glance: what's out of stock, what's running low, and which inspection failed.
